YOUR CONTRIBUTION
Why this role matters
Thoughtful intentions need practical systems behind them. In this planned role, you would help turn the founder's operating approach into clear checklists, dependable records, and routines people can use. You would connect tasks to owners and dates, notice when information disagrees, and keep decisions traceable. The work calls for someone who enjoys bringing order to a developing business while asking whether each process actually helps sellers, tenant-buyers, and Ownership Guides receive consistent, respectful service.
What you would own
Maintain accurate CRM records, file naming, document versions, and status definitions so the current information is easy to identify.
Build and maintain approved checklists for intake, property review, transaction preparation, and ongoing participant follow-up.
Track task owners, dependencies, and promised dates; surface overdue work and ask for a clear resolution or revised commitment.
Coordinate calendars, routine meeting preparation, and action notes while sharing only the information each participant needs.
Prepare operating reports that distinguish completed work, missing data, blocked items, and exceptions requiring a decision.
Maintain access and retention routines under approved policies, and report suspected data exposure or misdirected information promptly.
What good work looks like
Records and reports reconcile to their source files, with corrections documented and recurring errors addressed.
Work items have identifiable owners, useful next steps, and current status information.
Document reviews show correct versions, appropriate access, and required information in the right place.
Process changes reduce repeated clarification, missed handoffs, or avoidable rework, as shown by issue logs and team feedback.
What you would bring
Careful organization and a habit of checking details against source information.
Comfort with spreadsheets, shared documents, calendars, and CRM systems.
Clear process writing and concise status updates.
Good judgment about confidential information, permissions, and escalation.
Ability to prioritize competing requests without losing sight of dependencies.
Your first 90 days
An outline of how we plan to develop the role. Exact scope and expectations will be agreed for each opening.
DAYS 1–30
Learn the process
Map the proposed workflow and identify where decisions, records, and responsibilities need definition.
Learn the approved tools, access rules, and handling requirements for sensitive information.
Create a sample operations checklist and report using fictional records for founder review.
DAYS 31–60
Own the routine
Run agreed administrative routines and keep exceptions visible to the person who can resolve them.
Improve the consistency of CRM fields, document versions, and handoff notes.
Write concise process instructions that another person can follow without a separate explanation.
DAYS 61–90
Improve the work
Maintain a dependable view of active work, unresolved issues, and upcoming commitments.
Recommend focused improvements using evidence from actual process friction once operations begin.
Prepare a practical continuity guide for the workflows you administer.
A CONVERSATION ABOUT THE WORK
Three records, three different dates.
FICTIONAL DISCUSSION EXERCISE
In this fictional exercise, a sample transaction calendar, CRM entry, and document checklist show different dates for the same milestone. One note says the date changed, but does not identify who agreed. A follow-up message is due that afternoon, and an attached sample file contains personal information that the recipient does not need. Describe what you would verify, who you would involve, and how you would keep work moving while the date is unresolved. Draft a corrected internal status note and suggest one small process improvement. The materials are invented and the output will not be used for a live transaction.
This is an example for discussion—not a request to contact a real customer or complete unpaid client work.
The boundaries that protect the work
Do not change contractual deadlines, participant commitments, or financial terms without documented approval from the authorized person.
Do not share sensitive records through personal accounts or give broader access than the approved workflow requires.
Do not mark work complete to clear a dashboard when evidence, review, or the underlying action is still missing.
